Capstan Technologies LLC · Effective October 23, 2026
This page covers the Omni Key browser extension and the Capstan vault it connects to. Capstan is used by licensed insurance agents to keep their clients' records and fill enrollment forms.
What Omni Key does
Omni Key opens as a side panel in Chrome. An agent signs in with their own Capstan account, picks a client, and fills the form on the page they have open with that client's confirmed details. The agent can also type a value or a note into the panel and save it to that client's record.
Omni Key acts only when the agent clicks. It never submits a form. The agent reviews and submits every form themselves.
What information it handles
- The agent's sign-in. Used to connect to the agent's own vault. It is held only for the signed-in session.
- Client details. Names, contact details, dates of birth, Medicare and plan details, and notes the agent saves. These are personal and health information about the agent's clients.
- Form fields on the open page. Omni Key reads the labels of the fields on the page the agent asks it to fill, so it can match them. It does not read or keep anything else on the page.
Where it goes
Client details travel only between the agent's vault and the page the agent chose to fill. The vault is the agent's own encrypted system of record, run by Capstan on Amazon Web Services under a business associate agreement. Each agent's vault is separate from every other agent's.
Omni Key does not store client details in the browser. Details shown in the panel are cleared when the agent switches clients, goes back, signs out or closes the panel.
What we never do
- Sell or rent any information.
- Use client information for advertising, profiling or any purpose other than running Capstan for the agent.
- Share it with anyone except the service providers that run Capstan under written agreements, or where the law requires it.
- Run analytics or tracking in the extension.
- Load code from outside the extension package.
Our use of this information follows the Chrome Web Store User Data Policy, including its Limited Use requirements.
Record of access
Every read and change of a client's details in the vault is recorded with who did it and when. Agents and their clients can ask what was accessed.
Keeping and deleting
Client records stay in the agent's vault for as long as the agent uses Capstan. When an agent leaves, their records are returned or destroyed under our agreement with them.
Requests and questions
A client who wants to see, correct or ask about their information should contact their agent, who controls their record. Agents and anyone else can reach us at [email protected].
Changes
If this page changes, the date at the top changes with it. A change that affects how client information is used will be told to agents before it takes effect.
